As an admin, you can request that volunteers submit specific documentation — such as a Working with Children Check — before attending an event, and specify how you'd like to receive it.
Before you start
- Requirements on the platform are default requirements — once created, they're saved to a reusable pool so you can add them across multiple volunteering events without having to recreate them each time.
- You can create and manage default requirements from two places: the Activities settings page, or during the event creation flow at Step 5 (Other Requirements). Both open the same modal and add to the same pool.
Set up default volunteer requirements
Step 1. Access requirements settings
Access via Activities settings page
- Open the left-hand navigation bar and hover over Create giving activities.
- From the dropdown menu, select Activities settings.
- On this page, find the Volunteering requirements & certificate types section and select Manage.
Access via volunteer event creation flow at Step 5 (Other requirements) page
- Open the left-hand navigation bar and select Create giving activities.
- Select Add new activity button.
- Complete volunteer event creation flow process until you reach Step 5 (Other requirements) page.
- Select Add new requirement link.
Note: This is a high-level summary of the navigation to Step 5. For the full step-by-step event creation flow, see [Creating a volunteering event].
Step 2. Review the default certificate types
- If you have accessed the requirement settings via the Activities settings page then you may review the default certificate types added to the platform.
- Two default certificate types are included on the platform:
- National police certificate
- Working with children check
- Use the Show/Hide toggle next to each to choose whether it's available as a default requirement option across the platform.
Step 4. Create a new volunteer requirement
- Select the Add new certificate button to open the Create a new volunteer requirement modal.
- If you're on Step 5 (Other Requirements), select the Add a new requirement link.
- Both this link and the Add new certificate button in Activities settings open the same Create a new volunteer requirement modal, and any requirement you create is saved to your reusable pool. Choose how volunteers should access this requirement and complete it:
- Website URL – select this radio button, then paste the link into the Paste URL field.
- File upload – select this radio button, then select Choose file to attach a document from your device.
- Only one access method can be selected per requirement.
Note: Uploaded files must be a .pdf, .png, or .jpg, and no larger than 10MB. If the file type isn't supported, you'll see the message "Invalid file type. Please upload a PDF, PNG, or JPG." If the file is too large, you'll see "File too large. Maximum size is 10MB."
Step 6. Confirm your file upload
- Once a valid file is attached, the file name will display in place of the Choose file button, confirming it was uploaded successfully.
- To replace or remove the file, select the Remove (X) icon next to the file name, then upload a new one if needed.
Step 7. Save the requirement
- Proceed to save the requirement by selecting Save on the create new volunteer requirement modal.
Confirmation and next steps
- Once you have created the default requirements you need, these can be added across multiple volunteering events without having to recreate them each time. To add requirements to new volunteering events, learn more about creating a volunteering event.
- To edit or delete an existing requirement, access the Volunteering requirements & certificates page again and select the three-dot action menu next to requirement:
- Selecting Edit opens the same modal, where you can update any of the requirement's details.
- Selecting Delete removes the requirement as an option on the platform.
Note: You can return to this page at any time to add, edit, or delete default requirements — changes here apply platform-wide, not just to a single event.
