The manage volunteering page is where team leaders and admins can view, search, and manage all the volunteering sessions associated with your company. It's split into two primary tabs — Upcoming sessions and Completed sessions — so you can easily separate sessions still to come from sessions that have already taken place.
- Upcoming sessions – volunteering sessions scheduled to be held in the future.
- Completed sessions – volunteering sessions that have already been held, i.e. sessions past their scheduled session date.
Before you start
- Open the left-hand navigation bar and select Manage volunteering.

Search and filters
Use the search field and filters to narrow down the list of upcoming sessions — for example, by location, date range, or team leader status. Learn more about searching and filtering upcoming volunteering events.
Results are split across two tabs:
- General volunteering
- Skilled volunteering

Table columns
Once you've searched or filtered, the table below displays the following columns for each session:
- Checkbox – select one or more sessions to perform a bulk action update. Learn more about making a bulk action update.
- Starts in – the number of days until the session's scheduled date.
- Date/Time – the date and time the session will be held.
- Event name – the event the session is associated with.
- Session name – the name given to the specific session.
- Charity – the charity or organisation associated with the event.
- Location – the suburb where the event will be held.
- Team leader – if a team leader has been assigned to the session, their name appears here. Selecting the name opens a mailto link, which will open your default email application with a new message ready to send directly to the team leader. If no team leader has been assigned, you'll see an Assign leader link instead, which you can select to assign one. Learn more about team leaders in volunteering events.
- Registrations – a progress bar showing the number of registrations made against any maximum set for the session (e.g. 8/20). If no maximum has been set, this displays as registrations made against Unlimited.
- Minimum – the minimum number of registrations set for the session to run, if applicable. If no minimum has been set, this column will be blank.

Understanding the registrations progress bar
The registrations progress bar is colour-coded so you can quickly see how a session is tracking:
- Red – No registrations have been made yet, or the minimum number of registrations required to run the session (if set) has not yet been met.
- Amber – The minimum number of registrations required (if set) has been met, but the session hasn't yet reached its maximum capacity.
- Green – The session has reached its maximum number of registrations, where a maximum has been set. If no minimum was set and the session has unlimited spots, the bar turns green as soon as at least one registration has been made.
Completed sessions

Use the search field, filters, and quick filters to narrow down completed sessions. Learn more about [searching and filtering completed volunteering sessions] (link to be confirmed).
As with upcoming sessions, results are split across:
- General volunteering
- Skilled volunteering
Table columns
- Checkbox – select one or more sessions to perform a bulk action update. Learn more about making a bulk action update.
- Total hours – the total volunteering hours completed by registrations who attended the session.
- Date/Time – the date and time the session was held.
- Event name – the event the session is associated with.
- Session name – the name given to the specific session.
- Charity – the charity or organisation associated with the event.
- Team leader – the name of the assigned team leader, if there was one. If no team leader was assigned, this column will be blank.
- Attendance – a progress bar showing the number of registrations who attended against the total number of registrations, along with an attendance percentage (see below).
- Registrations – the total number of registrations for the session, including those who attended and those who were absent.
- Attended – the number of registrations marked as attended for the session.
- Absent – the number of registrations marked as absent for the session.
- Cancelled – the number of registrations marked as cancelled for the session.

Understanding the attendance progress bar
The attendance progress bar is colour-coded so you can quickly identify sessions with high absences:
- Red – Attendance is below 50% of total volunteers.
- Amber – Attendance is 50% or above, but below 100% of total volunteers.
- Green – Attendance is 100% — every registered volunteer attended.
Below the bar, you'll see the attendance rate displayed as attended volunteers / total volunteers, along with an attendance percentage (e.g. "18/20 – 90% attendance").
- Total volunteers is the number of registrations, including any added on the day of or after the event. Cancelled registrations are not included.
- Attended volunteers is the number of registrations marked with an attendance status of "attended".
- Attendance percentage is calculated as (attended volunteers ÷ total volunteers) × 100.
Exporting data
You can export the data shown in either table. Any search terms or filters you've applied will be reflected in the exported file. Learn more about [exporting volunteering data].
