As an assigned team leader, you can update multiple volunteer registrations at once instead of updating them one by one. This is especially useful for larger events where you need to mark attendance, adjust hours, or manage registrations for many volunteers at the same time. This article explains how to select registrations and what each bulk action does.
Before you start
- You must be an assigned team leader for an event to access the volunteer registrations page and use bulk actions.
- It's a good idea to search and filter down to the registrations you want to update first, so you don't accidentally update the wrong volunteers. See How to search and filter for volunteer registrations as a team leader for more detail on the available search and filter options.
How do I bulk update volunteer registrations?
Step 1. Navigate to the volunteer registrations page.
- Open the left-hand navigation bar and select Volunteer registrations.
- This page shows all volunteer registrations for the events you are an assigned team leader for.
Step 2. Search and filter for the registrations you want to update.
- Use the search field to find volunteers by name or email, or apply filters such as date, session, or attendance status to narrow the list down.

Step 3. Select the registrations you want to update.
- Tick the checkbox next to each volunteer's name that you want to include in the bulk update.
- You can select as many registrations as you need — selecting at least one registration activates the Bulk action button in the top right of the page.
Step 4. Open the bulk action menu.
- Select the Bulk action button once your registrations are selected.
- A dropdown menu will appear with the available bulk update options.
Step 5. Choose the action you want to apply.
The following bulk actions are available:
- Adjust hours – Use this to update the volunteer hours logged against a registration, for multiple volunteers at once. This is useful when an event ran for a different length of time than originally scheduled, and you need to correct the hours for everyone who attended, rather than editing each registration individually.
- Mark absent – Use this to mark a group of volunteers as absent, for example after the event has taken place and you've identified everyone who registered but didn't show up. Marking absences in bulk is quicker than checking each volunteer one by one, particularly for larger groups.
- Mark cancelled – Use this to cancel multiple registrations at once. This is helpful if a session or event can no longer go ahead, or if a group of volunteers need to be removed from an event, for example if their registrations were made in error or they are no longer able to attend.
- Mark present – Use this to confirm attendance for a group of volunteers who did show up to the event. This is a faster alternative to checking in each volunteer individually, especially useful when checking in a large group at the start of an event.
- Move registrations – Use this to move a group of volunteers from one session or event to another. This is useful if a session is cancelled or full, and you need to reassign the affected volunteers to a different available session, or if registrations were made against the wrong session and need correcting in bulk.
Step 6. Confirm the update.
- Follow any prompts to confirm your selection before the bulk action is applied.
Confirmation and next steps
Once applied, the bulk action will update the status, hours, or session for all selected registrations. You can search or filter again to check that the update was applied correctly.
