As an assigned team leader, you're responsible for confirming which volunteers attended your event. This article explains how to mark attendance, what happens if attendance isn't marked on the day, and how to make changes afterwards.
Before you start
- You must be an assigned team leader for an event to mark attendance for its registrations.
- If you are a team leader for multiple events or sessions, it's worth filtering down to the correct one before marking attendance, to avoid updating the wrong volunteers. See how to search and filter for volunteer registrations as a team leader for more detail.
How do I mark volunteer attendance?
Step 1. Look out for your mark attendance reminder email
- The day before your event, you may receive an email notification reminding you to mark attendance for your session.
- This email includes a Mark attendance button. Selecting it takes you directly to the volunteer registrations page, already filtered to show the correct event and session.
Step 2. Navigate to the volunteer registrations page
- Alternatively, open the left-hand navigation bar and select Volunteer registrations.
- This page shows all volunteer registrations for the events you are an assigned team leader for.
Step 3. Filter down to the correct event or session, if needed
- If you're a team leader across multiple events or session times, use the search and filter options on this page to narrow the list down to the specific event and session you want to mark attendance for.
Step 4. Mark attendance in the check in column
- On the day of the event, you'll see a Check In toggle next to each registration in the table.
- Click the toggle once to mark the volunteer as Present.
- Click the toggle again to mark the volunteer as Absent.
- Go through the list of volunteers and mark attendance for each registration as they check in, or as required.
Step 5. Mark attendance for multiple volunteers at once, if needed.
- If you have a large group to check in, you can select the checkboxes next to multiple registrations and use the Bulk action button to mark them all as Present or Absent in one go, instead of updating each registration individually.
- This is especially useful at the start of a session, when a large group of volunteers arrive and check in around the same time.
- Learn more about making bulk actions to volunteer registrations here.
Step 6. Know what happens if attendance isn't marked.
- If a registration hasn't had attendance marked manually, the system will automatically mark it as Present 8 hours after the event ends.
- This means you don't need to manually mark every volunteer as present if they all attended — but it's still good practice to mark absences on the day, so no-shows aren't automatically recorded as present.
Step 7. Update attendance after the event, if needed
- You can still go back and update attendance status after the event has ended and after the automatic marking has occurred — for example, if you need to correct a volunteer who was automatically marked present but did not actually attend.
Confirmation and next steps
Attendance status is reflected in the check in column on the volunteer registrations page, and can be reviewed at any time post-event.
