This article explains how to find the registrations you need and export volunteer contact details so you can get in touch directly.
Before you start
- You must be have admin access or be an assigned team leader for an event to access the volunteer registrations page. If you've only expressed interest, or haven't been assigned, this page will not be available to you.
Contact volunteers as a team leader
Step 1. Navigate to the volunteer registrations page
- Open the left-hand navigation bar and select Volunteer registrations.
- As an admin, this page shows all volunteer registrations for all events on the platform.
Step 2. Find the registrations you want to contact
On this page, you can search and filter to narrow down the registrations you're interested in:
- Search for a specific activity name to find all registrations associated with it.
- Filter by date.
- Filter by volunteering type — general or skilled.
- Filter by event location.
- Filter by event visibility to specific employee offices.
- Filter and search by event name.
- Filter by session time.
- Check registration attendance status — present or absent.
- Filter by other team roles, such as: assigned team leader, expressed interest for team leader position, registered for others, past team leader.
Note: It's important to apply the filters and search relevant to who you want to contact before you proceed to the next step to exporting, as the export will only include the registrations currently shown on the page.
Step 3. Export the registration list
- Select the Export link on the right-hand side of the page, under the filters.
- This downloads a CSV file containing all the registration information for the volunteers matching your search and filters.
Step 4. Use the contact details in the file
- Registration email addresses and phone numbers are included in the CSV (columns B and C respectively).
- You can copy this contact information directly from the file to get in touch with the volunteers you need to reach.
- Clicking on an email address in the CSV file opens it as a mailto link, launching your default mail app so you can message the volunteer directly.
